Privacy Policy

This Privacy Policy explains how RentMyTools Inc. ("RentMyTools", "we", "us") collects, uses, discloses, and protects personal information through RentMyTools.ca (the "Platform"). It applies to visitors, registered users, and anyone whose information we process in connection with a listing, rental, or booking. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). The Platform is not currently offered to residents of Quebec — see Section 13.
1. Who We Are
RentMyTools.ca is operated by RentMyTools Inc. ("RentMyTools", "we", "us"), based in Toronto, Ontario. For any privacy question or request, contact us at hello@rentmytools.ca. Our designated privacy officer, responsible for our compliance with this Policy, is Julio Macías.
2. Information We Collect
We collect information you give us directly, information generated by your use of the Platform, and information from third parties involved in providing the service.
- Account information: full name, email address, password (stored encrypted), phone number, mailing address, city, and postal code.
- Identity verification: a government-issued ID photo, submitted only if you choose to verify your identity, reviewed by our team and stored securely.
- Listings & profiles: photos, descriptions, pricing, and availability you provide for equipment, helper profiles, or business listings.
- Location data: your approximate or precise location, with your browser's permission, used to show nearby listings and estimate distance.
- Payment-related data: Stripe processes and stores your card details on our behalf — we receive limited data back from Stripe (such as the last four digits of a card, transaction amounts, and payout status), never your full card number.
- Messages & reviews: content you send through in-app messaging, and reviews or ratings you leave for other users.
- Usage & device data: pages viewed, actions taken, browser type, IP address, and cookies described in Section 11.
- Communications: any email or message you send to our support address.
RentMyTools is not the employer of the independent individuals who offer help or services through Hire Help. For that reason, we do not request or collect a Social Insurance Number (SIN), work permit, immigration status, or other employment-authorization documents for the purpose of verifying whether someone is legally authorized to work. Identity verification on the Platform serves security, fraud-prevention, and trust purposes only, and is not a confirmation of work authorization, professional licensing, or employment eligibility.
3. How We Use Your Information
- To create and administer your account, and to show your name, photo, rating, and trust level to other users as part of a listing, request, or booking.
- To process payments, security deposits, and payouts through Stripe, and to detect and prevent fraud.
- To verify phone numbers and government IDs, and to calculate and display trust levels.
- To power location-based search and show you relevant nearby listings.
- To send transactional notifications (booking updates, messages, dispute updates) by email or push notification.
- To respond to support requests, investigate disputes, and enforce our Terms of Service.
- To comply with legal obligations, including tax record-keeping and responding to lawful requests from authorities.
4. Consent & Legal Basis
By registering, you consent to the collection, use, and disclosure of your information as described in this Policy, which is necessary to provide the marketplace service you're signing up for. Some features — like sharing your precise location or submitting a government ID — are optional; you can decline them, though this may limit what you can do on the Platform (for example, ID verification is required to rent equipment). You may withdraw consent for optional processing at any time by contacting us, subject to legal or contractual restrictions.
6. Where Your Information Is Stored
Our database is hosted by Supabase in the ca-central-1 (Canada) region. Some service providers we rely on, including Stripe, Resend, and OpenAI, may process or store data on servers located outside Canada, including in the United States, where it may be subject to the laws of that jurisdiction, including lawful access by foreign authorities. We select providers with strong security and privacy commitments, and only share what's necessary for them to perform their function.
7. How Long We Keep Information
We keep your account information for as long as your account is active, and for a reasonable period afterward to resolve disputes, comply with legal obligations, and prevent fraud. Financial records related to transactions are generally kept for at least six years to meet Canadian tax record-keeping requirements. Government ID images are retained only as long as needed to complete verification and address any related dispute, after which we delete them; you may request earlier deletion by contacting us, subject to any legal retention requirement.
8. How We Protect Your Information
We use technical and organizational safeguards appropriate to the sensitivity of the data, including database-level row security rules restricting who can read or modify each record, encrypted storage and transmission, and access controls limiting our own team's access to identity documents and payment data. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a data breach that creates a real risk of significant harm, we will notify affected individuals and the relevant privacy regulator as required by law.
9. Your Privacy Rights
Subject to some legal exceptions, you have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or outdated information (most of this you can update yourself in your account settings).
- Withdraw consent for optional processing, or close your account entirely.
- Request a copy of certain information you provided, in a portable format.
- File a complaint with us directly, or with the Office of the Privacy Commissioner of Canada (priv.gc.ca), or, if you are a Quebec resident, the Commission d'accès à l'information (CAI).
To exercise any of these rights, contact us at hello@rentmytools.ca. We will respond within a reasonable time, generally within 30 days.
11. Notifications & Marketing Communications
We send transactional emails and push notifications related to your account and activity on the Platform (for example, booking confirmations or new messages) — these are necessary to the service and not subject to an unsubscribe request while your account is active. If we ever send promotional emails, we will only do so with your consent as required by Canada's Anti-Spam Legislation (CASL), and every such message will include a working unsubscribe link.
12. Children's Privacy
The Platform is not directed to, and we do not knowingly collect personal information from, anyone under 18. If we learn a user is under 18, we will close the account and delete their information.
13. Quebec Residents
The Platform is not currently offered to residents of Quebec, and registration is intended for users in the rest of Canada, primarily the Greater Toronto Area. If we expand the Platform to serve Quebec residents, we will update this Policy first and provide the notices and rights required under Quebec's Act respecting the protection of personal information in the private sector ("Law 25"), including a designated privacy officer for Quebec-specific requests, before onboarding users from that province.
14. Changes to This Policy
We may update this Policy as the Platform evolves or as privacy laws change. We will post the updated Policy with a new "Last updated" date, and where a change is material, we will make reasonable efforts to notify active users before it takes effect.
